Moving off a spreadsheet (or Jobber, Square, HubSpot) without losing a weekend
A practical walkthrough for service pros, restaurants, and retail shops who want to leave a spreadsheet or a tool that no longer fits — and keep every contact, note, and dollar.
Most operators don’t switch tools because they’re bored. They switch because the spreadsheet finally broke — two people edited the same row, a quote got lost in a tab — or because Jobber, Square, or HubSpot started charging for the one feature they actually needed. The blocker is never desire. It’s the fear of losing data in the move.
Here’s how to do it cleanly.
1. Export a clean CSV first
Whatever you’re leaving, get your data out as a CSV before you touch the new tool. Every serious platform — Square, Toast, Jobber, HubSpot, Google Sheets — exports CSV. One file of contacts, one of jobs or orders if you have them. Don’t hand-clean it; you’ll map columns in the next step.
2. Map the columns, don’t retype
The import screen in VertaFlow lets you line up your CSV columns against the fields in your chosen vertical — “Customer Name” → Contact, “Phone” → Phone, “Last Job” → a note. You’re matching headers, not retyping rows. Most accounts finish the contact import in under 30 minutes.
3. Spot-check a handful of records
Before you trust it, open five imported contacts and confirm the phone numbers, emails, and notes landed where you expect. If something’s off, you fix the mapping and re-run — the import is idempotent, so a second pass doesn’t create duplicates.
4. Keep your data portable on the way in
The reason migration is scary is lock-in: you got burned once and don’t want it to happen again. With VertaFlow your imported data lands in real Postgres, and re-exporting later is one click from Settings → Data — CSV or a full SQL dump, any minute, no support ticket. The data that walks in can always walk back out.
